Drinks for a crowd - from recipes to shopping list

A short cocktail menu, the right quantities and a plan for service. Here is how to make drinks for a crowd easier to organise.

Cocktails and bartender service by GetBartender

Start with the occasion and a short menu

Are you serving a welcome drink or running a bar for several hours? For a welcome drink, you can plan one chosen serving per guest. For the rest of the event, choose quantities to suit your programme, other drinks and guest preferences. Calculator quantities reflect your choices, not a recommendation for alcohol consumption.

For example, choose two cocktails and an alcohol-free option. A shorter ingredient list makes shopping and service simpler. Make water easy to find, too.

Drinks for 20, 50 or 100 guests

These shortcuts open the same shopping-list calculator with your guest count entered. Then choose your cocktails and the number of each drink. If some guests prefer alcohol-free drinks, you could enter 0.8 cocktail and 0.2 mocktail per guest for one combined welcome serving.

A practical example: 50 Gin Hass cocktails

Using our Gin Hass recipe, 50 servings need the quantities below. This makes 50 drinks in total, rather than estimating consumption for a whole evening.

Ingredients for 50 Gin Hass cocktails
IngredientQuantity
Gin2 litres
Mango syrup1 litre
Lime juice1 litre
Lemon soda5 litres

Allow separately for ice and garnish. Round bottles up to the sizes you buy. Measure lime juice: a number of whole limes does not give a fixed volume of juice.

Choose cocktails to suit your service

Gin Hass is built directly in the glass. A Negroni can have its ingredients measured in advance, but still needs stirring with ice at serving time. Margaritas require shaking in small batches. Mojitos take extra work with mint and lime. Consider how many guests arrive together and how many people will be behind the bar.

One shopping list, even when ingredients overlap

The calculator combines compatible ingredients across up to five cocktails. Choose bottle sizes, tick off purchases and copy or print your list. Unmeasured ingredients, ice and garnish appear separately and need your own judgement.

Shaking and stirring also add water from the ice. The calculator scales the recipe ingredients; it does not change the method or automatically turn each recipe into a finished dispenser drink.

Prepare ahead and keep the final touches fresh

Chill ingredients, set out glasses and measuring tools, and make one test drink before mixing a larger batch. Keep soda, ice and garnish separate until serving. Bring out small batches when ingredients need to stay cold.

How many bartenders do you need?

For bartender hire, our starting recommendation is one bartender per 25 guests. Your arrival pattern, cocktail menu and other drinks affect the service needed. You can adjust the bartender count in the booking flow to suit your event.
